Start from the return reference you already use
Book each returned unit in when it physically arrives: enter the unit's details, with the return reference your business already uses, such as an RMA or service number. ReclaimStation records the unit, its owner, the reason it came back and its condition, and no parts are recovered from it until a supervisor records the owner's permission.

Keep returns apart from usable parts
Returned units and recovered parts stay apart from released stock until each part is checked and released. Putting a part in a bin never makes it available, and a reservation for a part that isn't released is refused.

Record what came out, linked to its return
Scan the return and follow the approved method for the model. Each part that actually came out is recorded once, with its position, part code, revision, serial and grade, and gets its own identity linked to the return. A part that was damaged or missing is recorded as a finding, not as a part.

Check each part
Checks follow the approved method, such as a condition check and a bench output reading, and their limits are applied when they are submitted. The person who checked the part confirms these are their own observations, and the part waits for an independent review.

Release it before anyone can use it
A supervisor who didn't supply the evidence releases the part. The release applies to that checked identity: a later hold, an expired check, a correction or a removal can make it unavailable again.

Where recovered parts are reused: warranty repairs, refurbished units, new builds
Recovered parts go back into service in warranty repairs, refurbished units or new builds. Each released part is reserved for a named unit and requirement, with approved rules deciding which revisions qualify, and its installation is recorded against that unit when the part and the unit are scanned.

When a problem turns up later
If a problem is found later, such as a supplier notice about a serial, a concern is recorded against the exact part. It blocks affected use and shows the units the part is fitted in, for a supervisor to act on.

What ReclaimStation does not do
- Issuing RMAs or running a customer returns portal.
- Valuation or cost accounting for recovered parts.
- Bulk quantities. It records individual parts.
Common questions
Does it replace our ERP or stock system?
No. ReclaimStation keeps the record of recovered parts and whether they are available for reuse, alongside your ERP and stock system. Connected data from other systems comes through SmartFACT Data, agreed separately.
Can recovered parts go into new builds as well as repairs?
Yes. A released part is reserved for a named unit and requirement, whether a repair or a new build, and approved rules decide which revisions qualify.
Does it value recovered parts?
No. ReclaimStation has no valuation, costing or stock accounting.
Trials are by invitation and start with one agreed workflow. Scope and arrangements are agreed with you before access.
