Returns disposition rules for manufacturers: route each return and gate every reused part

Updated

Returns disposition rules decide what happens to a returned product after it is received and inspected, such as repair, recovery of parts, reuse or scrap. ReclaimStation routes each returned unit to the right assessment with approved rules, gates each recovered component, with block taking precedence over review and review over admission, and suggests eligible components in an approved order. A different person releases each part for its next use.

ReclaimStation destination requirement BUILD-5821, POWER, PM-200: required revision B, slot POWER, and a reservation that needs current permission, checks still in date and a matching approved policy, with Check eligibility and reserve
A build requirement can only reserve a part that the approved reuse policy admits, on a handheld or scan station.

Route each return to its assessment

Approved rules send each returned unit to the assessment template that fits, such as the approved motor check for cosmetic returns. Exactly one route must apply: no match or two matches stop the return for a decision rather than guessing.

Reuse gates

Each recovered component passes a reuse gate that admits it, sends it for review or blocks it. For example, a component with two or more recorded reuse cycles in this register is sent for review. Any block wins, and any review comes before admission.

ReclaimStation Find and reserve: This action was not recorded. This location is not allowed for this action. Keep the part where it is and ask a supervisor to check its permitted location and release before use.
A held part cannot be reserved; the reason is shown, on a handheld or scan station.

Order the candidates

When several components could fill a build requirement, the approved order decides which is offered first, such as the earliest test expiry or the oldest release. Ineligible components are never offered.

Independent release

The person who supplied a part’s evidence cannot release it, and physical release needs a supervisor. Checks, permission and release are separate recorded decisions.

ReclaimStation independent component release for PM-0487: the recorded checks, condition pass and output 24.10 V, and the supervisor's release reason being recorded
A supervisor releases the component independently, with the reason recorded.

Write, test and approve these rules in SmartFACT Automation

Recovery routes, reuse gates and candidate ordering can be described in plain English in SmartFACT Automation, where AI proposes the rule and a plain restatement, or built directly in the structured editor. Either way the rule is checked against examples your team agreed in advance and approved by a reviewer before ReclaimStation applies it. ReclaimStation then runs the approved rule itself, with no AI call when the decision is made. Automation is included with ReclaimStation’s paid plan.

What ReclaimStation does not do

  • Certify a component’s remaining life. Reuse cycles count only what this register records.
  • Judge a pass from appearance alone or waive a required check.
  • Install a part automatically.

Common questions

Is this retail returns management?

No. Retail returns software grades items for restock or resale. ReclaimStation recovers components from returned units for reuse in your own builds.

What is returns disposition?

The decision about what happens to a returned item after inspection. ReclaimStation records that decision for each unit and each recovered component.

Does ReclaimStation certify reused parts?

No. It records your checks, permissions and releases. Certification stays with your quality process.

Trials are by invitation and start with one agreed workflow. Scope and arrangements are agreed with you before access.
