INVITED-TRIAL GUIDE · UPDATED 15 October 2026

How ReclaimStation works

From a returned unit to recovered parts that are checked, released, reserved and fitted, with removals, concerns and corrections kept in the record.

This guide describes the trial scope. Access and the workflow supported for your site are agreed before the trial starts.

Receive the return

An operator scans or enters the returned unit and records your return reference, the unit's owner, the reason it came back and its condition. Permission to recover parts from it is recorded separately, because owning a returned unit and being allowed to reuse its parts are different facts. The unit is received held.

Recover the parts

The operator records what actually came out of the unit, part by part, against an approved recovery template: each part recovered, not present or damaged. Every recovered part gets its own identity and label and starts held. Nothing becomes stock just because a parts list says it should be there.

Check and release

Checks are recorded against your approved method, such as an output reading for a power module. A supervisor reviews the recorded observations, the permission to reuse and the intended use, and releases the part. Whoever supplied the evidence can't release it, and passing a check alone never makes a part available.

Reserve and fit

A released part is reserved for a named unit's requirement, with its slot and revision. Permission, holds and the approved reuse policy are checked again at reservation, and two people can't reserve the same part. A reservation is not a fitting: the installation is recorded when the part and the unit are scanned and confirmed.

Remove and reuse

A part removed from a unit, such as one that comes back on a later return, goes back on hold with the same identity. Its earlier installations stay in its history, and it needs fresh checks and release before it is used again.

Concerns and corrections

An operator or supervisor can report a concern, such as a supplier notice about a serial or damage found on a part. It blocks the affected parts and reservations at once and shows the units already fitted, for a supervisor to act on. Corrections are separate decisions that keep the original entry visible.

Practise with the real screens

Practise reserving released parts, responding to held parts and unknown labels, releasing checked parts and recording a source concern, using made-up returns and parts.
